Assign responsibility for devices and people

Six shared devices at R100 each cost R600 in face value. So do six individual allocations of R100. For shared devices, keep the inventory ID, current custodian and shift. For individuals, keep a current roster with assignment dates. In either case, record the work purpose, product, amount, approver and supplier reference. Note when a device is returned or a person is removed from the roster.

Set expectations for use and support. Follow company policy for personal phones and reimbursements, and keep browsing or personal content out of the allocation ledger. Assign someone to handle lost devices, role changes and departures. A replacement device should move onto the record through a handover with the new asset ID.

Check for duplicate funding after a device change

When a worker switches from a personal phone to a company device, close the old allocation before scheduling the new one. If they need both, record the separate work requirement for each. Compare asset and staff lists before replenishing.

At month-end, match the allocation ledger to the asset register or staff roster. Check whether payments linked to inactive people or devices were intentional. If you’re comparing the two models on cost, review exceptions with IT and finance before deciding which works better.
