What should happen when an employee leaves a recharge roster?
Remove the employee from the next recharge run as part of offboarding. If a top-up has already been sent to the supplier, check its original reference and assign someone to follow it through.

|---|---|---|
| Stop scheduled top-ups | Manager | Roster update |

Set a cut-off and check released orders
Use the effective departure date from HR. Tell the order approver about any departure that falls inside the batch window. If one person leaves while a 24-person batch is being prepared, remove that row before approval. Check that the revised file has 23 people and that its total agrees with the roster. If the affected order is already queued or submitted, query the supplier and record its status instead of assuming it was cancelled.
Add removal to offboarding
Check scheduled jobs, saved recipient lists and portal roles as well as the visible roster. Revoke the employee’s ordering access using the normal company process, and record the new custodian or return of any shared device or SIM. Reassign support cases to someone who can close them.
Apply the same checks if an employee moves to a role that no longer needs credit. Name the roster owner and the person who removes portal access. Record both checks on the offboarding checklist and leave unresolved references with finance or operations until they’re settled. Retain the transaction evidence needed to explain the spend under your records policy and remove unnecessary access to personal details.
