Prepaid allowances for a distributed sales force
Set the allowance from the work each team does. A rep travelling to an event may need extra data for a week. A different territory name on the roster, on its own, tells you little about what the rep needs.
| Territory | Staff | Approved cap | Total cap |
|---|---|---|---|
| North | 6 | R100 | R600 |
| South | 5 | R90 | R450 |

Plan allowances by workload and territory
Use the same method across territories. Record each team’s headcount, work schedule, travel, tasks and existing device support. Check whether the work calls for airtime or data. In the example, six staff with a R100 cap and five with a R90 cap put the planned monthly limit at R1,050. Keep that limit separate from the amount actually issued and what the supplier charged.
Record transfers between sales territories
Give roster changes an effective date. If a rep transfers mid-month, check both lists for duplicate allowances and agree which territory should carry the cost before the next order. Have sales operations certify the roster and finance match monthly spend to the active headcount and source transactions.
Review the reserve against exception reasons
For event or travel credit, record the work reason, approver and expiry. Keep those costs separate from normal allowances so an unusual month doesn’t automatically raise the cap. Compare monthly spend by role and territory. If one team uses more over several months, check whether work patterns, coverage or device support explain the difference. Trace any unusual spike to the source transactions before raising the cap. Have sales operations and finance review the results before changing the budget.
