How to verify airtime reward claims in a survey
Give each eligible survey response a claim ID. Use it to check whether a reward has already been sent, and keep survey answers away from the team issuing airtime. Send ambiguous cases, such as two respondents sharing a phone, to a named reviewer.
| Case | What the reviewer checks |
|---|---|
| Same response submitted twice | Look up the existing claim and its issue status |
| Two respondents share a number | Apply the published eligibility rule to the two claims |
| A participant corrects their number | Check whether a reward was already sent before updating delivery |
| A claim qualifies but the budget is full | Apply the selection rule announced to participants |

Separate response validation from reward delivery
Keep the response ID and eligibility decision in the research system. The reward list needs the claim ID, approved amount, delivery details and the issue reference or status. Limit who can link the two records. Test whether support can resolve a missing reward without reading the participant’s answers. Tell participants what contact information you’ll collect and why, and only promise anonymity if the design supports it.
Decide how claims qualify before launch. For invited customers, one reward per eligible invitation may be enough. For a public survey, you may need an approved identifier to apply the same rule to everyone. If two claims share a number, check the eligibility rule before rejecting either one.
Reconcile the claim count before ordering
Say 162 responses qualify but the campaign is capped at 150 rewards of R20. The approved face value is R3,000 before fees. Use the selection rule announced at launch to choose the 150 claims. Record the other 12 as eligible but outside the cap. Review repeated submissions against the response records before approving claims.
Match the delivery file to the approved list. Every approved claim should appear once, and every delivery row should have an approval. If a participant corrects a number before issue, update the same claim. If the reward may already be on its way, check the original reference before authorising a replacement.
Test the handover with a small synthetic file
Use a clean response, a repeat submission, two valid responses sharing a number and a destination change after approval. Have the reviewer record each decision and give the delivery team only the fields it needs. Ask finance to match the approved claims to issued rewards and open cases. Assign every open case to someone who can follow it up.
