How to review pending prepaid orders without creating duplicates

Start with the orders still pending at the end of a shift. Look up each one by its original reference. A timeout can hide a successful order, so sending it again can deliver the airtime twice. Write down who will check each open order and when.

Sort open orders by age

Export orders at the same point each day or shift. Group open orders by age, such as today, one business day and older. Decide when to escalate from the supplier’s support process and the effect on the customer.

Check the oldest, highest-value or most urgent orders first. Record the last action, supplier case number and next check. Take an order off the list once you have recorded its confirmed result.

Check the original transaction first

Open the exact supplier reference, confirm the product and amount, and review the status using the authorized channel. If no supplier reference was returned, search using the internal reference and other permitted details. Do not expose more recipient information than support needs. Record the check time, source and result.

If the status is still pending, follow the supplier escalation route. Keep the order visible and inform the appropriate internal owner. Staff should not create a new order or reroute to another supplier until the original outcome is resolved or an authorized continuity rule explicitly permits it.

Apply ageing and escalation rules

Define internal thresholds for review and escalation based on the supplier’s stated process and the customer impact. For example, an operations manager may review anything still unresolved at shift close, while finance reviews older cases before month end. Do not invent a guaranteed resolution time. If an order is urgent, document the reason and contact the designated support route.

Say a R100 order is still pending. If the supplier later confirms it went through, close the original order. If you had placed another R100 order in the meantime and both went through, the customer would receive R200.

Close the case with evidence

When a final status is established, record the evidence, supplier case number, action taken, customer communication and reviewer. If a replacement is approved after confirmed failure, link its new reference to the original case. Reconcile both records so a later report update does not create double counting.
