Audit prepaid sales across independent franchise branches
Use the same cut-off for every branch. Pick individual transactions and match them to the till, the supplier record and the money collected or credited. Review differences by branch, because a credit at one shop can cancel out a shortfall at another in the franchise total.
| Sample to include | Audit question |
|---|---|
| Confirmed sale | Can the branch find the original receipt and supplier result? |
| Pending order | Does the record show who is checking the outcome? |
| Refund or credit | Can finance match the amount and reason to the original sale? |
| Voucher stock difference | Does the issue register explain the movement? |
| Shift change | Did the next operator inherit the same open cases? |

Start with comparable records
Ask branches to report the same period and use the same status definitions. Record when exports were pulled and whether any branch submitted a revised file. Keep branch and till identifiers on every line. If the supplier export lacks them, use the internal reference to join it to the branch register.
Sample successful sales as well as exceptions so you can test the day-to-day process and see what happens when an order goes wrong. Take a closer look at high-volume branches and any shop where the same cases keep carrying forward. Keep personal information and voucher PINs out of the audit summary.
Separate the discrepancy types
In an illustrative review, Branch A has a R50 debit with no matching local order and Branch B has a R50 supplier credit awaiting allocation. Their combined variance is zero. Investigate both. Ask Branch A for the time, till and supplier reference. Ask Branch B whether the credit relates to a refund, fee adjustment or another item. A credit at a different branch cannot explain the missing order.
Record what you can verify and what someone still needs to check. Compare a suspected timing difference with the next statement. Ask the branch to look for a missing receipt and review the till close for a cash variance. If an order has no confirmed outcome, check the original reference with the supplier.
Agree who can clear each discrepancy
Put the reference, amount, evidence, open question and next review date on the report. Decide who is authorised to clear each type of discrepancy and what proof they must retain. Review older cases separately from new ones so that repeated delays are visible.
Use repeat findings to improve the branch process. A missing identifier in several reports points to a reporting change. A single unexplained voucher reprint points to a branch control review. Give each branch the results it needs to act on, and share network-level patterns without circulating sensitive records. Freepaid point-of-sale airtime
Check the branch by exception age
Report how much is unresolved and how long it’s been open. Ten low-value cases from yesterday may need a different response from one transaction carried through three closes. Ask each owner what evidence they’re waiting for and flag repeated gaps to the network supervisor.
