Choose an airtime channel for each recipient group

Send airtime straight to staff phones when your roster has verified numbers. For a customer campaign where you don’t know the networks, a redeemable PIN may be easier to distribute. At a dealer’s counter, choose the product with the customer and give them a receipt they can bring back if there’s a problem.

Group Starting channel Evidence to capture
Staff on a verified roster Direct recharge Approved list and fulfilment references
Customers with mixed or unknown networks Universal voucher, if the PIN can reach them safely Eligibility record and masked issue reference
Dealers serving walk-in buyers Counter issue or direct recharge, chosen at sale Till and product reference
Volunteers with limited online access Assisted handover agreed with the coordinator Signed-off allocation and support owner

Fill in five columns before appointing a supplier

Record the recipient group, purpose, delivery data, accessible channel and support owner. Add the minimum information needed for the channel. For a staff run that may be a checked number and network. For a voucher run it may be a secure way to reach the intended person. Where a shop handles the last step, record which till or agent issues the value and who investigates exceptions.

Decide what happens when the channel is unavailable. If a recipient cannot open the message containing a voucher, name the team that can verify the person and resolve delivery. If a direct recharge is pending, follow the original order before routing that person to another channel. Moving the request to a different team does not change the status of the first order.

Work through one mixed programme

Say you’re funding 40 staff members, 150 eligible customers and 12 volunteer coordinators. Staff receive airtime on a confirmed list. Customers qualify at the end of a campaign and receive individual PINs through an agreed channel. Volunteers collect assistance through a coordinator because some have limited online access. Create three separate rosters and keep a shared approval total.

At an illustrative R30 each, the planned face value is R6,060 for 202 recipients. Record R1,200 for staff, R4,500 for customers and R360 for coordinators. Keep the budget split in the approval because a cancelled campaign does not mean the staff allocations should also stop. Compare each roster with its own issue or fulfilment evidence.

Decide who owns the exception

Give each route a person who can answer four questions.

  1. Who checked that the recipient qualified?
  2. Which delivery method was approved?
  3. What record proves it was issued, fulfilled or still awaiting a result?
  4. Who can resolve the exception without distributing value a second time?

Test a common failure for each group. Change a staff number before a batch is released, simulate a customer who cannot receive a message, and ask a coordinator to reconcile an uncollected allocation. Check that each response leaves an audit trail and that shared reports exclude full PINs.

Review the channel when the audience, scale or access method changes. A successful staff workflow can stay in place while a campaign tests a different route. For direct top-ups, see SIMcloud.
